Let’s be real, no one enjoys being micromanaged, and as a procurement professional, you probably don’t enjoy micromanaging others too.
But here’s the challenge: how do you ensure suppliers meet their contractual obligations without constantly chasing them or hovering over every detail?
I’ve learned that effective contract management isn’t about control, it’s about clarity, structure and trust.
When those are in place, enforcement becomes a natural process, not a daily struggle.

Understanding the Balance
Too little oversight can lead to missed deliverables and compliance issues.
Too much oversight can strain relationships and waste valuable time.
The goal is to find a middle ground where expectations are clear, performance is visible and accountability is shared.
✅ Scenario 1: A supplier misses deadlines because the contract didn’t clearly define delivery timelines or reporting requirements.
Tip: Define measurable deliverables, timelines and responsibilities upfront. If it’s not clearly documented, it’s difficult to enforce.
✅ Scenario 2: Instead of constantly asking for updates, you rely on agreed KPIs like delivery timelines, quality standards and response times to assess performance.
Tip: Create a simple scorecard to track key metrics. Keep it focused as too many KPIs can be just as ineffective as having none.

✅ Scenario 3: Rather than sending daily email updates, you hold structured monthly or bi-weekly review meetings to discuss progress and challenges.
Tip: Set a regular cadence for performance reviews. Use these sessions to address issues early and align on expectations.
✅ Scenario 4: Both you and the supplier have access to a shared dashboard that tracks deliverables and timelines, making it easy to spot delays or gaps.
Tip: Use shared tools or dashboards where possible. When everyone can see the same information, accountability improves naturally.
✅ Scenario 5: A supplier uses a different internal process than expected but still delivers on time and meets quality standards.
Tip: Give suppliers flexibility in how they work, as long as they meet agreed outcomes. Avoid imposing unnecessary controls.
